What is the online booking system?

The online booking system is a replacement for the paper booking system previously in use, and for the court light and heating control.

It allows members to book courts via the internet.  You do not need any special software on your PC to do this.  You use your normal web browser (Internet Explorer, Firefox, Safari, Netscape, Google Chrome etc).  So you can book from any PC connected to the internet.

The club has a touch-screen PC installed that does run special software.  It provides members with an interface similar to their normal browser experience, but customized to the keyboard-less and mouse-less environment of the touch-screen.  This PC also interfaces with the controller for the court lights and heaters.

Will there still be a paper booking sheet?

No.  The new booking system is a complete replacement for the old system.

How do I use the online booking system?

You get a personal club account and you will be given a Member ID and PIN Code to access it.  You simply navigate to the online booking system and log in.  From there you can book courts and manage your club account.

Please log in and review your telephone details using the Member information menu option.  We have tried our best to get these correct, but some are bound to be wrong.

You will also find it a lot easier if you enter your email address into your account.  Once you have done this you can ask the system to send your login details if you forget them.

How do I charge my club account?

This is done by secure electronic transfer from a credit or debit card.  A transfer fee is charged, currently £2 for credit cards and £1 for debit cards.  This has been set as low as we think the club can bear, and will be kept under review.  The minimum transfer has been set to £40 expressly to keep the fee low as a percentage of the transfer.

How do I book a court?

There are two court booking views, weekly and daily.  To book a court you must navigate to the daily view for the day to be booked.  You will see available courts with the court fee.  Click on the court slot you want to book.  On the next page, you can enter your opponent and confirm the booking.

How far in advance can I book a court?

Fourteen days including today.  This rolling window is different to the old paper system.

How do I recover my opponent's half of the court fee?

You have several options.

You could take cash from your opponent, just as with a peak hour booking under the previous system.

If your opponent logs on to the system before the cut-off date, then they are invited to pay their half of the court fee.  If they agree, then you get refunded for their half of the fee.  The cut-off date is seven days after the booked date.

If the cut-off date has passed or your opponent has declined the invitation, then they can still transfer money to your account from theirs with a manual transfer.

How do I book to play with a visitor?

If you are booking to play with a visitor, then you must specify this with the visitor button, and you will be charged the visitor fee.  You can edit an existing member booking to change it to a visitor booking.  Similarly, a visitor booking can be edited to specify an member opponent, and the visitor fee will be refunded.

Will I get charged for a visitor if I don't enter my opponent for a booking?

We have reluctantly introduced the requirement to specify opponent.  We did this because of abuse of the system by a small number of members.

If your opponent changes, you should change the information in the booking as soon as possible, so that there can be no doubt about misuse.  You should not play one person when the booking says you are playing a different person.  Action will be taken against anyone found playing visitors without paying the visitor fee.  This could mean suspension of booking privileges, or a fine.

What if I don't know who I will be playing yet?

When you book a court you have to select your opponent or specify a visitor booking.  You can edit the booking later (but before the court time), and you can change a visitor booking to a member booking by entering your opponent.  If you do this, then the visitor booking fee will get refunded.

Can I book while at the club?

Yes.  You book on the touch-screen PC.  Try to keep your PIN secret, bearing in mind that it is only four decimal digits.

Can I charge my club account at the club?

No.  If you want to book while at the club you need to make sure your account is already sufficiently charged.  If you are really stuck, then you might be able to convince someone to make a manual transfer from their account to yours.

What if the internet connection goes down at the club?

If the internet connection is down at the club, then you will be unable to make or manage bookings from there.

The software detects that the connection is down, and presents emergency control buttons for the court lights.  So you will still be able to play.  Please make sure you switch the lights off when you have finished.

Can I play for a bit longer at the end of a court session if the court isn't booked?

Yes.  If you log in on the club PC, there is a button to pay for extra lights.  The cost is 25% of the court fee for each 10 minutes.  This is approximately the same as putting £1 coins into the old court meters.

In fact you do not need to have just played on the court to buy immediate 10 min slots.  The only requirements are that you log in on the club PC and the court is not already booked.  So you can buy extra time on either court.

How will tournaments be booked and paid for?

Tournaments will be booked by the Bookings Administrator before the dates become available for general booking.  The payment method is to be decided.

How will Club Night be booked and paid for?

Club Night will be block booked by the Bookings Administrator.  Participants should pay the fee at the club before playing by making a manual transfer from the Your Account page to member 1000, which has been set up to represent the club.  This pseudo-member is called Adel Squash Club on the member list.  You must have charged your account beforehand.  You cannot charge your account at the club.  The administrators will be able to see a list of who has paid.

The current fee is £2 for members.

What if the system fails to switch the lights on for a booking?

This should not happen if the internet connection is up.  If the connection goes down, then emergency light control buttons are displayed by the software.  Please make sure you switch the lights off when you have finished.

If the lights and heating get switched on manually because the internet is down, they will get switched off automatically at 23.10.

Will the lights be on anyway during peak hours?

No.  The lights will only come on for a booking.  The heaters will come on beforehand, so that the court should be warm.

Note: The ability to control the lights separately from the heaters is not yet available, so the lights will currently come on early with the heaters.

How will the booking fees be affected?

Initially the existing pricing structure will be maintained.  But the new system makes it much easier to implement differential pricing for different court slots, and this will be under consideration for the future.  The main thrust of this will be to increase court usage rather than court revenue.

How will club team home matches get booked and paid for?

Club team home matches will be booked ahead of time for the entire season by the Bookings Administrator.  The payment method is to be decided.

Will club team captains still hold match keys?

No.  The locks have been changed, and the old keys should be discarded.  Team captains should make an extra effort to ensure that matches start on time.  If a match overruns, then the extra court time will have to be paid for by buying either an extra 10 minutes or a whole court.

Can I change my Member ID and PIN Code?

You cannot change your Member ID, but you can and should change your PIN Code.  Obvious PIN codes are disallowed.

What if I forget my Member ID or PIN Code?

You do not need your Member ID at the club, just your PIN Code.  From elsewhere you need both.  If you have entered your email address into the system (using the Member information menu option), then you can ask the system to send your access details to your email address.

Obviously you are a bit stuck if you are at the club and you have forgotten your PIN Code.

Please also note that three invalid login attempts for the same Member ID will lock the account for the rest of the day.  So please get your Member ID right, otherwise you may lock someone else's account.

Can I cancel a court booking?

Yes, and if you do so more than 48 hours in advance, then the court fee will be refunded.  If you cancel less than 48 hours in advance, then the fee will still be refunded if someone else rebooks the slot.  So it is in your own interest to cancel a court that you will not be using, as well as being good etiquette.

In addition, after booking a court you have 15 minutes to cancel with full refund even if it is less than 48 hours before the court time.

How many bookings can I make?

You can only have three peak-hour bookings at a time, except that this rule is ignored if you want to book a court starting within the next 48 hours.

Will I be charged for non-peak bookings that I don't use?
